This page contains practical and interesting information leading up to your first day of work at ¹û¶³´«Ã½. Let's start with the emails you will receive before you start at ¹û¶³´«Ã½.

  • Employment Contract

    After accepting your job offer, HR Services will ask you to fill in personal details and upload some documents (in our HR-system OutSite) that we need for administration. Finalizing your contract may take some time because of the necessary formalities. After the formalities have been completed, you will receive a request to sign your contract digitally.

  • ¹û¶³´«Ã½ Account

    You will receive an email from ¹û¶³´«Ã½ Identity Manager informing you that your account has been created. In this email, you will find instructions for logging into your account, which will be activated on your first day of work. ¹û¶³´«Ã½ uses Multifactor Authentication to protect its data adequately.

  • Campus Card

    The campus card is essential for your daily activities at ¹û¶³´«Ã½. While the buildings are accessible through interconnected walkways, you will need the card for accessing labs, other restricted areas, and the coffee machines. You will receive an email from parking.accesscontrol@tue.nl requesting you to upload a photo for your campus card.

    Important: Don’t wait until your first day to apply for your campus card. Since it takes a few business days to arrive, upload your photo as soon as you receive the email request. This ensures you will have your campus card ready and activated when you need it.

  • Laptop

    Our IT department notifies your department secretariat that your laptop is ready for use. After that, the secretariat can communicate this to you, along with the information on (how to make) an appointment to pick up your laptop at the desk in Metaforum.

A first time for everything

What can you expect during your first day, week, or even the first few months at ¹û¶³´«Ã½? While everyone’s experience will be unique, we want to give you a clear idea of what to anticipate as you get started.

Your onboarding journey continues on our intranet, accessible from your first day at work. To ensure the security of our data, ¹û¶³´«Ã½ uses Multifactor Authentication. Please watch the video linked below for detailed instructions on setting up the Microsoft Authenticator app.

  • First Day

    You will receive all the details about your first day at ¹û¶³´«Ã½ directly in your personal email. This includes where to go and who will meet you there. A coworker or an assigned buddy will guide you to your new workplace and introduce you to (some of) your new colleagues.

  • Laptop

    On your first day, you can collect your laptop at the front desk in MetaForum. Please note that an appointment is required for this. In most cases, this appointment will already have been scheduled for you. If needed, don’t hesitate to reach out to the secretariat of your (service)department for assistance.

  • First Meetings

    You might have already received an introduction schedule in your personal email. Or you will find meeting requests in your new ¹û¶³´«Ã½ inbox. Be sure to discuss with your manager, buddy, or coworker which colleagues would be helpful to meet. Missing any introductions? Don’t hesitate to ask the secretariat for assistance in scheduling additional meetings.

  • Team Lunch

    A team lunch is a great opportunity to connect with your coworkers in a relaxed, informal setting. Sometimes, a joint lunch will be planned. Or you will get an informal invitation from a team member to have lunch with a few of your new colleagues.

  • Invitation to Introduction Event(s)

    Around once a month, we send all new employees an email invitation to join our Welcome@¹û¶³´«Ã½ Day. Additionally, PhD students and EngD trainees are invited to a special Graduate School Kick-off. Scroll down to learn more.

  • Meeting with HR Services

    During this meeting, an HR colleague from your (service)department will explain what you can expect from HRM. Together, you’ll go through the key employment conditions and staff regulations. Topics include how to use ¹û¶³´«Ã½ InSite, how to request leave, what to do when you are ill or in case of an emergency.

Getting to campus for your first day of work

Within walking distance of Eindhoven's central train and bus station, our green campus boasts beautiful architecture, diverse workplaces, and numerous facilities to support our vibrant community. It’s important to know which building you need to be in, so you can follow the directional signs on campus or simply enter the building name into Google Maps.

If you're arriving by car, use your campus card to open the barrier. Directional signs will guide you to buildings and parking lots. To encourage reduced car usage, ¹û¶³´«Ã½ has implemented paid parking with a reduced rate of two euros per day for employees and students. Your campus card confirmation email will include details on how to create your parking account. If you don’t have a campus card or parking subscription yet, get a ticket at the barrier. When leaving, pay at one of the parking meters near the exits and use the same ticket to exit.

Of course, visitors on bicycles will also find options for parking their bikes at each building.

Introduction Events

Welcome@¹û¶³´«Ã½ Day
To help you feel welcome and at home on our ¹û¶³´«Ã½ campus, we warmly invite all new employees (that includes PhD candidates and EngD trainees) to a general ¹û¶³´«Ã½ introduction. About once a month we send all new employees an email asking them to sign up for a Welcome@¹û¶³´«Ã½ Day. Your partner is welcome too! Besides practical information, you can expect an interesting campus tour and many opportunities to start building your ¹û¶³´«Ã½ network.

Graduate School Kick-Off Event
In addition, the Graduate School offers Kick-Off Events for new PhD candidates and EngD trainees. Get welcomed by the Dean of the Graduate School and meet peers from all over the world. You will also receive initial tools that will help and support your further development during your program at our university.

Frequently Asked Questions

  • Can I get access to my e-mail before the starting date?

    Access to your email account begins on the first day of your contract. 
     
    Depending on when your account is requested by the secretariat of your (service)department, your account might be active earlier. This allows your secretariat or colleagues to schedule meetings and plan onboarding activities in your calendar. While these updates can be added in advance, you will be able to view them no earlier than your start date.

  • What about my employment conditions?

    In addition to the employment conditions outlined in the Collective Labour Agreement for Dutch Universities (cao-NU), ¹û¶³´«Ã½ offers its own specific employee policies. These staff regulations and codes of conduct complement the cao-NU and apply to all ¹û¶³´«Ã½ employees or specific groups within the organization.
